Implementation Guide

How to Prepare for & Adopt NetSuite Next

A practical, step-by-step guide that turns the overview into a readiness plan — understand the rollout, enable Redwood, audit customizations, ready your data and roles for Ask Oracle, plan AI use cases, then roll out gradually — with links to the official NetSuite resources so you can verify everything for yourself.

Back to the main article

This is the practical companion to our NetSuite Next guide. The main article explains what NetSuite Next is and how each pillar works; this page is the plain checklist for getting your account ready and adopting it without surprises. Work through the steps in order — pilot before you switch everyone, sandbox before production — and use the official NetSuite link under every step to confirm details as you go.

Watch first: NetSuite’s official “NetSuite Next: AI Built Into Your ERP” overview before you begin.

Before you start — prerequisites

  • A sandbox: test Redwood and any AI features in a Sandbox or Release Preview account before changing production users.
  • Account eligibility: confirm what’s available in your region and release with your NetSuite account team — rollout is phased, North America first.
  • A pilot group & a sponsor: pick a few power users and an exec sponsor; agree how you’ll measure value and friction.

What you'll do

  1. Understand the rollout and timeline
  2. Enable the Redwood UI for a pilot group
  3. Audit UI-dependent customizations
  4. Ready your data and roles for Ask Oracle
  5. Plan AI Canvas and agentic-workflow use cases
  6. Set AI governance and change control
  7. Train users and roll out gradually
1

Understand the rollout and timeline

NetSuite Next ships in waves, region by region. Get aligned on what arrives when before you plan anything — dates shift, so anchor to official sources.

Read/watch:  official NetSuite Next overview, video & announcement
  1. Review the official NetSuite Next product page and the overview video for the three pillars and the vision.
  2. Read Oracle’s SuiteWorld 2025 announcement for the official scope and direction.
  3. Note the cadence: Redwood is opt-in now; Ask Oracle and AI Canvas roll out through 2026, North America first.
2

Enable the Redwood UI for a pilot group

Redwood is a per-user toggle, so you can let a few power users live in it now and surface issues early — without changing anything for everyone else.

Go to:  Home > Set Preferences > Appearance > Redwood Experience > Enable
  1. Have each pilot user enable the Redwood Experience theme on the Appearance tab of Set Preferences.
  2. Walk the high-traffic pages — dashboards, lists, forms — and note the sticky header, smart search, and collapsible sections.
  3. Collect friction points; users can toggle back to Classic at any time during the pilot.
3

Audit UI-dependent customizations

The Redwood UI restructures forms and navigation. Most customizations carry over, but UI-dependent ones need a look before you switch everyone.

Test in:  Sandbox — custom forms, client scripts, layouts under Redwood
  1. Inventory custom forms, client scripts, and any UI-dependent SuiteScript on your busiest record types.
  2. Enable Redwood in a sandbox and walk those records, watching for layout, field-visibility, or scripting issues.
  3. Log fixes and re-test — treat this as a UI-compatibility review, not a rebuild.
4

Ready your data and roles for Ask Oracle

Ask Oracle is only as trustworthy as the data and permissions behind it. It runs under your existing roles, so clean data and tight roles directly shape answer quality.

Prepare:  data hygiene + least-privilege roles + permissions
  1. Clean the data Ask Oracle will lean on — consistent customers, items, and accounts make answers accurate.
  2. Confirm least-privilege roles; the assistant respects each user’s permissions, so over-broad roles over-expose.
  3. Decide who gets the assistant first, and verify answers cite their source records as expected.
5

Plan AI Canvas and agentic-workflow use cases

Resist “AI everywhere.” The teams that win pick one or two bounded use cases, prove value, then expand.

Pick:  1–2 bounded use cases (e.g. reconciliation, scenario modeling)
  1. Choose an AI Canvas scenario your finance or ops team already does in spreadsheets (e.g. a what-if margin model).
  2. Choose one agentic workflow with clear boundaries (e.g. reconciliation assistance or a payment proposal) to trial.
  3. Define what “good” looks like and compare AI output against your existing process before relying on it.
6

Set AI governance and change control

“Agents propose, you approve” is the model — but you decide where the line sits. Set that policy before agents touch real processes.

Define:  autonomy vs approval + audit-trail review
  1. For each agentic workflow, decide what runs autonomously versus what requires human approval.
  2. Assign owners to review the audit trail of agent actions on a regular cadence.
  3. Document the policy and revisit it as capabilities mature — start conservative, widen with evidence.
7

Train users and roll out gradually

Adoption beats availability. Expand team by team, with light training, once pilots prove compatibility and value.

Process:  pilot → train → expand by team → default later
  1. Use pilot feedback to write short, role-specific guidance (how to ask Ask Oracle good questions; what changed in Redwood).
  2. Expand Redwood and AI features team by team, keeping the toggle available as a safety valve.
  3. Track usage and value, and plan for Redwood becoming the default (expected around 2027).

A note on accuracy: NetSuite Next is rolling out in phases and Oracle doesn’t publish every date; availability, feature scope, and behavior vary by region, release, and account. Always confirm specifics against the official NetSuite resources and your NetSuite account team, and validate Redwood and any AI features in Sandbox before enabling them broadly in Production.

Where readiness ends and engineering begins

Everything above gets you piloting Redwood and trialing AI safely. What sits beyond — reworking UI-dependent customizations for Redwood, designing custom AI agents and tools on the reimagined SuiteCloud Platform, wiring agentic workflows into your real processes with proper segregation of duties, and building the governance to audit it — is engineering work, not a toggle. For bring-your-own-AI scenarios alongside Ask Oracle, pair this with our NetSuite AI Connector Service guide.

NetSuite Next changes the interface and points AI at your system of record, so pilot in Sandbox, keep roles least-privilege, and expand with evidence. For the full reasoning behind each pillar, read the companion guide.
